When friends fly into Medellín separately, build the pickup plan around the flight that actually lands in Colombia. Use one arrival list
Give the planner one row per flight with the airline, the number of the arriving flight, the local arrival date and time, the number of travelers and their bags. Name one passenger who can speak for that arrival group. If a traveler lands just after midnight, write out the day of the week and date. A Thursday departure can easily belong on Friday’s pickup list.
Decide when it makes sense to split the group
Imagine six guests land before lunch and four more arrive in the evening. Ask for two pickup windows so the first six can head toward the property. Build in time to clear arrivals and collect bags before choosing a meeting time.
